A guide to our payment policies and how they work.

We hope this message finds you well. We would like to take a moment to inform you of our payment policies and how they work.

At War Room, we operate on a retainer-based billing model. This means that we require the retainer to be fulfilled prior to a campaign launching.

We must receive timely payment to ensure that we can continue providing the high-quality service you expect from us.

The exception to this would be Green Zone clients. Green Zone clients receive more flexible payment terms earned from a history of positive payment behavior.

Green Zone

Clients who consistently pay their retainer on time (three consecutive months or more) achieve Green Zone status. Achieving Green Zone status earns more flexibility.

Green Zone clients may be extended payment flexibility to launch campaigns swiftly, including launching campaigns without paying a retainer in full, as confirmed in writing by us on a case-by-case basis. If you want to launch campaigns quickly, without a retainer payment holding the process up, Green Zone status is where you should aim to be.

Yellow Zone

All clients start off in the Yellow Zone. Your payment track record will determine whether you achieve Green Zone status or fall into the Red Zone. After three months Yellow Zone status is achieved through inconsistent payments. Sometimes on-time, sometimes late. But typically, you’re not at risk of incurring late fees or account termination, though we may suspend services until payment is received by us as set out in our Terms of Service.

However, the goal is to earn Green Zone status. Pay your invoices on time, every time and receive the Green Zone benefits of flexible payment options.

Red Zone

If your invoices are consistently paid late or your account is overdue by 45 days or more your account falls into the Red Zone. Being in the Red Zone means you will accrue late interest as set out in our Terms of Service (18% per year, compounded monthly), and your account also risks termination.

This is not where you want to be, especially if you have an upcoming seasonal campaign. To get out of the Red Zone, you must have 3 consecutive months of on-time payments.

We do not want any of our clients to be Red Zoned. If you fall into the Red Zone you will be among the very few, since more than 98% of our clients process their invoices on time.

Late Fees

It takes two to maintain a positive and productive working relationship. We understand that discussing payment terms is not the most enjoyable topic, but it’s important to address it openly and honestly to avoid any negative consequences for all parties involved.

We don’t want to charge late fees and most of all, we want to ensure that we maintain a harmonious partnership, which is why we have implemented a reminder system for any overdue invoices.

Additionally, we provide a 45-day grace period for payment to be made before your account reaches the Red Zone. Once late fees are incurred, interest at the rate of 18% per year, compounded monthly, applies on any unpaid amount as set out in our Terms of Service.

Regrettably, if payment is not made within this grace period, late fees will start accruing. We genuinely dislike the idea of late fees and this becomes a lose-lose situation for both of us. Our ultimate goal is to deliver exceptional advertising campaigns for your brand consistently. However, when our team is forced to allocate time towards tracking down overdue payments, it hampers our ability to focus on optimizing your ads. This not only hinders our efficiency but also diminishes the overall quality of our services.

Please be aware that this Payment Guide is provided for informational purposes only and does not form a binding agreement between us. While we may, from time to time, at our discretion, amend payment terms as set out in this Payment Guide, our payment terms are governed by our Terms of Service, and in the event of any conflict between the information in this Payment Guide and our Terms of Service our Terms of Service will govern.
